Everything it does
Grouped the way a school actually thinks about it: finding a free slot, making the booking, keeping control, and knowing what happened.
See what is free, then book it
Day grid
Periods down the side, resources across the top. One glance tells you what is free, what is taken, and who has it.
Month and week calendar
Switch to a calendar for the wider picture. Click a day to drop straight into that day's grid.
Week strip
Jump between days without losing your place, with weekends greyed out when a resource is not available then.
Taken slots are locked
If a slot is gone it cannot be selected, and you can see who holds it. No submitting into a clash.
Part booked is shown too
Two of three vans taken? The slot stays open, marked so you know what is left before you choose.
Public availability
Mark a resource public and anyone can check availability without logging in.
The form asks only what that resource needs
Set the rules per resource. A meeting room asks almost nothing; a van asks for the destination and a mobile number.
Conditional fields
Title, notes, department, destination, mobile, event start and finish — each switched on per resource.
Multiple slots at once
Tick several periods, or take the whole day with one button. Options and periods combine as you would expect.
Recurring, previewed
Daily, weekly, fortnightly, monthly, or the same timetable day. Every date is listed before you commit.
Term aware
Repeats skip term breaks, public holidays and weekends, using the calendar your school already maintains.
Review before confirming
A summary of every date, period, option and cost, with clashes re-checked in case a slot went while you filled in the form.
Book on someone's behalf
Office staff can record a booking against another staff member, or against an outside group.
Rules that hold, without anyone policing them
Approvals
Name approvers on a resource and bookings wait for a decision. Approvers get a sortable, filterable queue and can clear it in bulk.
Booking restrictions
Limit a resource to named staff. Everyone else can still see availability, but cannot book it.
Agreements
Require terms to be accepted before a booking can be made — useful for theatres, kitchens and specialist gear.
Notice periods
Set a minimum number of days ahead. No more "can I have the van tomorrow" on a Thursday afternoon.
Booking limits
Cap how many live bookings one person can hold on a resource, so nobody blocks out a whole term.
Full audit trail
Every create, change, approval and deletion is logged against the person who did it.
Reporting that answers real questions
Usage by resource
Which spaces are working hard, and which are sitting empty all term.
Top bookers
Staff and outside groups in one ranked list, each with what they were charged.
Hire revenue
Bookings and revenue per organisation, so the hall pays for itself on paper as well as in practice.
CSV export
Any date range, straight out to a spreadsheet for the finance office.
Tied into your Staff Forms approval process
Trips and EOTC requests already run through an approval chain. The resources, vans, rooms and equipment they need should not be booked separately and then forgotten about.
Book from the form
Choose the van, the minibus or the gear while filling in the trip request, rather than in a separate screen afterwards.
Held while it is approved
The slot is blocked from the moment the request is submitted, so nobody else takes it mid-approval.
Released automatically
Trip declined or cancelled? The booking is released and the resource is free again, without anyone chasing it.
Moves with the dates
Change the trip dates and the bookings follow, with a clash check that tells you before saving if something no longer fits.
Connect our Resources Booking with our Staff Forms add-on, and the two systems talk to each other. The booking is made from the form, and the form knows if the booking is approved or declined. Talk to us about how your school runs trips.
Want to see it running?
We will set it up with your periods and a couple of your real resources, so it is not a generic demo.
